I​NTRODUCTION
As part of your final assessment for engineering you may be required to upload either hand written calculations or
drawings. This document provides instructions on:
1. How to scan your handwritten work using an ​Android​ device.
2. How to scan your handwritten work using an ​Apple​ device.
3. How to upload your pdf document to a Moodle dropbox.
The instructions supplied here are for one application. ​Others may be used​, and the instructions are similar.
Please note: I​f you cannot access Google Play or App Store, your next best option is to take photos of your
handwritten work and go to step 3, uploading each photo to the Moodle dropbox individually​.
1. S​CANNING​ ​OF​ ​HANDWRITTEN​ ​DOCUMENTS​ ​ON​ A​NDROID​ ​DEVICES
If you have an Android device please follow the steps below to capture your handwritten drawings or calculations
as a pdf file.
Step 1: Go to the Google Play store and install the
app, Microsoft Office Lens – PDF Scanneron your
device.
Step 2:Make sure you use a black or blue pen to complete your work. We recommend that you avoid using
pencil as the scanning/capturing of pencil can result in poor image resolution.
Step 3:Make sure the light in the room is sufficient for you to take clear scans of handwritten work with your
phone. Please try and avoid the use of a flash, as it may introduce too strong a contrast and thus adversely
affect the legibility of your image.

Step 4:As soon as you open the Office Lens App, you
should see a button at the bottom of the screen that
says Start scanning.
Step 5:
a) Place the first page of your document under
the field of view of the camera of your device.
b) Make sure you have selected Documentfrom
the capture mode options at the bottom of the
screen. You can change the capture option by
swiping left or right.
c) Turn off the flash- you can do this at the top
of the screen on the right hand side.
d) Take a photo of your work by tapping the white
circle at the bottom of the screen.

Step 6: The next screen will enable you to adjust and
confirm your image capture.
a) Adjust the border by changing the position of
the 8 white circles on the border after each
scan. This will enable you to exclude any part
of the photo that you do not intend to include.
b) Tap on Cancelif you need to take the photo
again. Repeat step 6.
c) Once you are satisfied, tap Confirm.
Step 7: You can then use the tool bar at the top of the
screen to make further changes to your image
although this is usually not necessary.
Step 8: TapAdd new if you want to add pages to the
document.ONLY tap on Doneonce you have scanned
the final page in your assessment.
NOTE:For multiple paged documents, capture each of the pages in sequence. This will generate a single PDF
with all the pages.
Step 9: When you have finished taking photos of the whole document, continue to the next step. This will enable
you to save your images as a PDF file (to your local device storage).

Step 10: This image shows you a view of the screen
when saving your scan.
a) In the Title field change the file name to the
format: <STUDENTID_SURNAME_DOCTYP>
b) Click on the PDFcheck box (in this image the
check box is not ticked – if you do not tick this
box you will not save the document as a pdf
file)
c) Change Save location – once you click on
PDFthere will be a toggle that enables you to
save to your phone or cloud storage.
d) Click Savewhen complete.
Step 11:Locate the PDF (Usually the file will be saved under storage/Documents/Office Lens) on your device
using the file manager of your choice.
NOTE:If you would rather upload the document to Moodle from your computer in place of your mobile device,
please select the cloud option (PDF -> Your OneDrive). Then have your OneDrive desktop client download the
file automatically or use thebrowserto manually download the file to your PC.
Step 12: Once you have completed the scan and saved the scanned pages in a single PDF file you are ready to
upload your document to Moodle. Further information about uploading the file to Moodle submission dropbox can
be found in section 3.

2. S​CANNING​ ​OF​ ​HANDWRITTEN​ ​DOCUMENTS​ ​ON​ ​AN​ ​APPLE​ ​DEVICE
If you have an Apple device (iPhone or iPad) please use the following steps to capture your hand written
calculations or drawings as a pdf file.
Step 1:Go to the App Store and install the app,
Microsoft Office Lens|PDF Scanon your device.
Step 2:Make sure you use a black or blue pen to complete your calculations/drawing. We recommend
that you avoid using pencil as the scanning/capturing of pencil can result in poor image resolution.
Step 3:Make sure the light in the room is sufficient for you to take clear scans of handwritten work with
your phone. Please try and avoid the use of a flash, as it may introduce too strong a contrast and thus
adversely affect the legibility.
Step 4:Start the app and tap Allow Accessthis
will result in a pop up where you will need to
confirm access to your camera. Tap OK.

Step 5:
a) Place the first page of your document
under the field of view of the camera of
your device.
b) Make sure you are not using a flash.
You can turn this off or on using the
flash symbol.
c) Make sure you have selected
Documentfrom the capture mode
options on the side or bottom of the
screen. You can change the capture
option by swiping.
d) Tap on the white circle to take an image.
Step 6: The next screen will enable you to adjust
and confirm your image capture.
a) Adjust the border by changing the
position of the white boxes on the border
after each scan. This will enable you to
exclude any part of the photo that you
do not intend to include.
b) Tap on Cancelin the bottom left hand
corner if you need to take the photo
again. Repeat step 6.
c) Once you are satisfied, tap Confirm.
Step 7:Once you click confirm you will be able
to make further modifications and add additional
documents.
a) To edit your image click on the three
dots (More) in the bottom of the screen.
This will bring up a range of options for
you to edit the image.
b) To add another page,tapAdd.
c) ONLY tap on Doneonce you have
scanned the final page in your
assessment.

NOTE:For multiple paged documents, continue capturing the pages in sequence. This will generate a
single PDF with all the pages.
Step 8: When you have finished taking photos of the whole document, continue to the next step. This will
enable you to save your images as a PDF file.
Step 9: This image shows you a view of the
screen when exporting your scan.
a) In the Title field change the file name to
the format:
<STUDENTID_SURNAME_DOCTYP>
b) Click on the PDFoption
c) This will bring up a new screen that
enables you tosave the image to your
phone or OneDrive.
d) If you do not have a OneDrive account
please choose the Email option
indicated below which will enable you to
send a copy of the pdf to your email
account.
e) Click Savewhen complete.
NOTE:We recommend that the local storage on an Apple device should not be selected as an option,
as iOS usually does not offer a file manager to later access the file through any dialogue box on your
browser, so you cannot upload it to Moodle directly from your mobile device.
Step 10: Once you have either saved the PDF in your OneDrive or sent the PDF via Email, you will have
two options to upload your work to Moodle. For both of these options, you will need a computer.
a) Your OneDrive:Have your OneDrive desktop client download the file automatically or use a
browserto manually download and save the file to your PC.
b) Email attachment:Access your email and download the attachment. Save this to your
computer.
Step 11:Once you have completed the scan and saved the scanned pages in a single PDF file you are
ready to upload your document to Moodle. Further information about uploading the file to a Moodle
submission dropbox can be found in section 3.

3. U​PLOADING​ ​THE​ ​PDF​-​SCAN​ ​TO​ ​A​ ​MOODLE​ ​SUBMISSION​ ​DROPBOX
Step 1:Open the link to your
assessment dropbox supplied by
your Unit Coordinator.
Click on Edit submission.
Step 2:To upload the pdf document:
a) Click on the box with the
blue arrow.
b) Choose Upload a file
c) ClickChoose file – navigate
to where you have saved
your scanned pdf.

Step 3:You should now see the pdf
in the file window.
Click on Save changes.
Step 4:You have now reached the
final step. Here you can:
– Edit submission- if you need
to change the file you have
uploaded.
– Remove submission- if you
need to delete the submission
you have attached.
– Submit assignment- if you
think your submission includes
everything you intended to
submit.
